Systems for Real Estate Agents

Your next twelve months are already in your phone.

Past clients. Their friends. The people who already trust your name. Almost none of them are moving this month, and that is exactly the problem. When they finally are, they call whoever they heard from most recently.

15 minutes. No pitch deck. You leave with a map either way.

How It Works

Three steps, no mystery.

1

We map your sphere

A free 15-minute call. Who is in your database, when they last heard from you, and what happens right now when an inquiry comes in while you are showing.

2

We build the cycle

Content going out, email reaching your list, inquiries answered fast, reviews asked for after closing. Built around how you already work, not a template.

3

You stay in front

The touches keep happening in the months when nobody is transacting. You show up, write offers, and go to closings.

The Real Problem

The gap between deals is where agents lose business.

Real estate is not an emergency trade. Nobody calls you the way they call a plumber at midnight. Your buyer decides over eighteen months of quiet, and the agent they pick is the one who never went quiet with them.

The database goes cold

Hundreds of contacts, most of whom liked working with you, hearing from you once a year at the holidays. That is not a relationship, that is a card. When their sister needs an agent, your name is not the one that surfaces.

Inquiries wait four hours

A showing request comes in while you are in a listing appointment. You answer at six. The agent who replied in four minutes already has the appointment booked.

You cannot tell what worked

Paid leads, referrals, open houses, social. Money is going out across all of it and there is no honest answer to which source produced the last five closings.

The Shift

From remembering to running.

How it usually goes
  • Contact goes quiet after closing
  • Posting happens when you remember
  • Reviews asked for when you think of it
  • Inquiries answered between appointments
  • Lead spend judged on gut feel
How it goes with structure
  • Your list hears from you every month
  • Content goes out on a schedule you approved
  • Review request fires after every closing
  • Inquiries get a reply in seconds, not hours
  • Every closing traced back to its source
Five Points of Control

One system, five jobs.

Same five stages we build for every business we work with, mapped to how a transaction actually moves.

Attract

Social and content doing the visible work. Listings, market movement, you as a person in the community, going out steadily instead of in bursts.

Convert

Showing requests and listing inquiries answered in seconds. The first agent to reply usually gets the appointment, and it is rarely close.

Deliver

Milestones handled automatically. Listing agreement signed, under contract, inspection, closing. Your client knows where things stand without calling to ask.

Retain

The part almost everyone skips. Home anniversaries, market updates, a review request after closing. Your sphere hears from you in the quiet years.

Grow

Source attribution on every lead, so you can see what the paid platforms actually returned against what your own database returned.

What Gets Built

The pieces, plainly.

Not every agent needs all of this on day one. The review call is where we work out which parts are actually missing.

  • Social content on a real scheduleListings, market data, and you in your own voice, planned ahead and posted consistently. You approve everything before it goes out.
  • Email to your sphere every monthMarket movement, home anniversaries, useful things for people who own a house. Not a listing blast, which is why people stay subscribed.
  • Instant reply to inquiriesShowing requests, listing questions, and web forms get an answer within seconds, day or night, so the conversation is still open when you get free.
  • Review requests after closingSame link to every client, sent while the closing is fresh. No routing, no filtering, no deciding who gets asked. That practice violates platform policy and carries real regulatory exposure, so we will not build it.
  • Buyer and seller pipelineStages that match how you actually work, with lead source recorded on every contact so you can see what each channel returned.
  • Transaction milestone messagesUnder contract, inspection scheduled, clear to close. Your client gets told without you drafting the same message for the ninth time.
  • A site that confirms the referralWhen someone hears your name and looks you up, the site is what decides whether they call. That is the job it does here. Outranking the big portals on search is a fight we would not take your money for.

Setup is quoted separately and is due before the build starts. What it costs depends on how much has to be untangled first, and you see the number before anything begins.

The Quiet Year Test

How is your database doing?

Three questions. Answer honestly, nobody is watching.

Does every past client hear from you more than once a year?

If a showing request came in right now, would anything answer it before you did?

Can you name the source of your last five closings without guessing?

That is what the free review looks at.

Every no is a place your business depends on you remembering. Fifteen minutes and you will know which one is costing you the most.

Straight About Proof

We have not run this for an agent yet.

You would be the first in this vertical, and we are not going to dress that up. What we can point at is the same infrastructure running today for other owner-run businesses in and around Rochester. Different trade, same problem: the work only moves when the owner touches it.

If being first makes you uneasy, say so on the call. It is a fair thing to weigh, and we would rather talk about it than have you find out later that we skipped over it.

Straight Answers

What agents ask first.

How do you handle Fair Housing in content that goes out automatically?

Nothing we write or send on your behalf describes a neighborhood as good or bad, references school ratings or safety, or suggests who a property or area would suit. That is not a house style rule. It is Fair Housing law, and automated content is exactly where agents get exposed, because volume makes it easy to stop reading what goes out under your name.

What we do write about: market data, the process, home maintenance, and your own activity. If you ask us for something that crosses the line, we will tell you no and explain why rather than quietly softening it. Your broker should also review anything that goes out under your license, and we will build it so that review is possible before publishing rather than after.

How is this different from paying for Zillow leads?

Paid leads are strangers who filled in a form and are talking to two other agents at the same time. You are renting attention, and you stop existing the day you stop paying.

This works the other end of the same problem: the people who already know you. That list does not get more expensive every year and it does not disappear when a card declines. Plenty of agents run both, and that is a reasonable choice. We would just rather you could see which one produced the last five closings, which is why source tracking is part of the build instead of an upgrade.

Who is this actually for?

Individual agents and small teams with a real database and not enough hours. If you have been in the business a few years, have past clients who liked you, and know most of them have not heard from you since closing, that is the situation this is built for. Brand new agents with no sphere yet are a harder fit, and we will say so on the call.

Will this get me to page one for real estate searches?

Almost certainly not, and anyone promising it is selling you a fight you cannot win. The big portals spend more on that ground than your whole business earns.

Your site has a different job here. When somebody hears your name at a barbecue and looks you up that night, the site is what decides whether they call you or keep asking around. We build for that moment, not for outranking Zillow.

What about my brokerage’s rules?

Most brokerages have requirements about disclosures, branding, and what has to be reviewed before it goes out. Bring those to the call. It is much easier to build them in from the start than to unpick a system that ignored them, and it is your license on the line rather than ours.

What happens on the free 15-minute review?

You talk, we map. How many contacts you have, when they last heard from you, what happens to an inquiry that arrives while you are busy, and where your closings actually came from. You leave with a clear picture of where it leaks. No deck, no pressure, and you keep the map whether we work together or not.

How does pricing work?

Foundation is $597 a month, Growth is $997, Command is $1,997. Setup is quoted separately, depends on how much has to be untangled first, and is due before the build starts. You see the full number before anything gets built.
