Built for HVAC companies

HVAC answering and follow-up that wins the busy season.

When the first cold snap hits, every HVAC phone in the county rings at once. The companies that win the season are not always the best techs. They are the ones that answer, book, and follow up while everybody else is buried. We build and run that side of your company.

Free 15-minute review. No pitch, no deck. A clear read on where you are the bottleneck.

1

Free 15-Min Review

A quick call to find the exact spots the business still runs through you. You leave with a clear read even if we never work together. Costs nothing.

2

Foundation Install

A one-time build. We put in the missing pieces so leads, follow-up and jobs stop depending on your memory.

3

Operating Partner

We run and tighten the system every month, so the business keeps moving without you stuck in the middle of it.

The Problem

The phone rings most when you can least afford to answer it.

Summer AC weeks and the first furnace failures of fall hit the same way. Calls stack up, quotes wait, and you end up dispatching, quoting and chasing callbacks at nine at night. Effort is not the problem. Everything routing through you is.

The Shift

From owner-dependent to business-operated.

Owner-Dependent

  • Owner answers everything
  • Leads slip through the cracks
  • Work lives in somebody’s memory
  • Follow-up is inconsistent
  • Growth creates more chaos

Business-Operated

  • Every lead gets handled the same way
  • Everyone knows who does what next
  • The same steps run every time, with or without you
  • Customer follow-up runs on its own
  • You can see where every job stands without being the one moving it

What North & Nova installs

The HVAC setup.

01

Attract

When the furnace dies at six in the morning you are the company they find, with the profile and reviews that settle it.

02

Convert

Every call answered or texted back in seconds, and quotes chased even mid-rush.

03

Deliver

Installs and service calls sit on a board the whole crew can see, not in your head.

04

Retain

Maintenance agreement customers hear from you every season, so spring and fall book themselves.

05

Grow

Most of your best installs start with somebody passing your name along. We build the part that asks, on purpose.

Worth Understanding

Why HVAC leaks in two places nobody watches

The first leak is the surge, and every owner knows about it. First real cold snap, first ninety degree week, and the phone does a month of volume in four days. You cannot staff for a peak that lasts four days a year, which is why the calls you miss that week are the most expensive calls you will ever miss. Somebody with no heat is not leaving a voicemail. She is working down the search results.

The second leak is quieter and it costs more over a year. Maintenance agreements.

An agreement customer is the best customer you have. They are already sold, they call you first when something breaks, and the spring and fall visits are booked work you can plan around. Then somebody has to actually call them to schedule it, twice a year, every year, and that job sits with whoever is least busy, which in a service company is nobody. So renewals slip a season, then two, and eventually the customer forgets they have an agreement at all. Nothing dramatic happens. The book just quietly shrinks.

The system covers both. It catches the surge because it does not get tired, and it works the agreement list because reminders do not care what month it is.

Keep your field software

Run ServiceTitan, Housecall Pro, whatever handles dispatch, invoicing and job costing. Those tools are good at the field and they are not built for the front end, which is the part where a homeowner decides who to call.

We install the front end around it: answering, booking, quote follow-up, reviews and the seasonal reminders. It is not another piece of software for you to learn. We run it and you see what it produced.

What this will not do

It will not sell for you. If your quotes are slow or your pricing is off, faster follow-up on a weak quote just gets you a faster no.

It will not fix a lead problem either. If eight people a month call you, this will handle eight people a month very well. Volume is a different pillar and we would rather say that on the call than after you have paid for the wrong thing.

The Step-Away Test

Could your business run without you next week?

Answer three questions. If most of these still need you, you do not own a business yet, you are the business. That is exactly what the free review looks at.

If you took a week off in January, would emergency calls still get answered and booked?

Does quote follow-up happen without you remembering at nine at night?

Could an install move from sold to scheduled without your phone?

Flip the switches to see where you stand.

Missed calls caught and Google reviews are from Hooper’s Tire Outlet, pulled from their own dashboard and profile. The 20 leads from 400 visits are Shelter Guard’s first 60 days on a new site, which is 5.0%. Neither is an HVAC company. We are not going to pretend otherwise, and if you want to be the first HVAC shop on this list, that is a fair conversation to have on the call. See the full breakdown.

Straight Answers

What HVAC owners ask first.

What does North & Nova actually do for an HVAC company?+
We build the office side of your company so it runs without you: every call answered or texted back, quotes followed up, installs on a board the crew can see, and maintenance customers hearing from you every season. You stay on the work. The company keeps moving.
We already have someone in the office. Why would we need this?+
Because one person cannot answer three calls at once in a January rush, and nobody follows up on quotes at nine at night. This backs your office up. When they cannot pick up, the caller still gets a text right back and a way to book, and no quote sits cold because somebody got busy.
Is this an answering service for HVAC companies?+
No call center, no script readers. Your phones ring the way they always have. The difference is what happens when nobody can grab it: the caller gets an automated text back from your number in seconds, with a real way to book or say it is urgent. Nobody hits voicemail and moves on to the next company on the list. That is missed call text back, and for the overnight surge there is an AI receptionist that answers and books on the call.
We already run ServiceTitan or Housecall Pro. Is this another system to learn?+
Keep your field software. Dispatch, invoicing, job costing, all of that stays put. We install and run the customer-facing side around it: answering, booking, quote follow-up, reviews and seasonal reminders. It is not software you have to learn. We run it, you see the results.
What about maintenance agreements?+
That is usually the biggest quiet win. Agreement customers are already sold, but somebody has to call them twice a year to schedule, and that job never gets done in a busy shop. The reminders run on their own, timed to each customer’s own service month rather than a blast to everybody in April.
What happens on the free 15-minute review?+
Fifteen minutes on the phone. You tell us how work comes in and where it piles up, we tell you the exact spots the business still depends on you. No pitch, no deck. You leave with a clear read either way, even if we never work together.
How is this different from hiring a marketing agency?+
An agency sells you lead generation and hands you the follow-up. We fix the other side first, which is what happens after somebody reaches out. It is the same five-stage operating system we install for every trade, tuned to HVAC. Once nothing slips, more leads are actually worth paying for.
Do you work with HVAC companies outside Rochester?+
We are based in Rochester and build for HVAC companies across New York State. The install runs over a few working calls and screen shares, so it works the same in Buffalo or Albany as it does here.
