A Lead Count Lies. Here Is What a Real One Looks Like.

Fifty form fills sounds like a good month. Once you filter out wrong numbers, spam, and vendor pitches, it might be twenty-two real jobs. We grade every call, form, chat, and text on how likely it is to become a job, show where each one came from, and track whether anyone followed up.

Why a lead count lies

Most shops track leads the way they track calls. A form fill is a lead. A missed call is a lead. A chat message is a lead. The number goes up, so it feels like things are working.

The problem is that a form fill from a recruiter and a form fill from a homeowner with a flooded basement are not the same thing. They count the same in your dashboard, but only one pays you.

So we sort every inbound contact by quality, not just by count. That tells you how many real jobs came in this week, not how many forms got submitted.

The five levels

These are our internal tier names. Every inbound contact lands in one of them.

Ready to Book

A real homeowner with a real problem, asking for a specific service, ready to pick a time. These get booked first.

Warm

A real homeowner with a real need, but not ready to commit today. They want a quote or a question answered first.

Shopping

A real person comparing three shops. They will book someone, maybe you, maybe not. Speed and follow-up decide it.

Low Signal

A real person, but vague. No clear service, no clear timeline. Often a wrong number or a quick question that goes nowhere.

Not a Lead

Spam, a vendor pitch, a recruiter, or a bot form fill. It counts as a form submission but it is not a customer.

Tier names are a draft. If you want different wording, say the word and we swap them.

What you see every week

Each week you get one view. It shows how many contacts came in, sorted by the five levels, and where each one came from, Google, a referral, an ad, or your website.

You see which ones got followed up and which ones did not. You see which ones booked and which ones passed. That is the difference between a lead count and a lead picture.

The one number we watch

High-quality leads nobody has followed up yet. If that number is above zero, money is leaking. A ready-to-book homeowner who never got a call back is a job that went to the next shop on the list. We watch that number closer than any other.

How the reading happens

Every call, form, chat, and text gets read and sorted. Some of that reading is done by AI, which looks at the words and the context and assigns a level. A person checks the ones that matter before they reach you, so a recruiter pitch never shows up as a ready-to-book job.

The point is not the tool. The point is that you stop counting spam as a lead and start seeing how many real jobs came in this week.
